Privacy statement

Data protection is of high priority for the Technische Informationsbibliothek (TIB). As a general rule, the use of TIB’s services does not require the provision of any personal data. However, the processing of personal data may be required where a data subject wants to use special services via the TIB’s web pages. Where the processing of personal data is required and where there is no legal basis for such processing, we shall obtain the data subject’s consent.

The processing of personal data, such as for example the data subject’s name, address, email address, or telephone number shall always be carried out in accordance with the General Data Protection Regulation (GDPR) and the state and institution-specific data protection rules and regulations applicable to the TIB. This privacy statement serves to inform the public about the nature, scope, and purpose of the personal data we collect, use and process, as well as of the rights data subjects are entitled to.

The terms used in this privacy statement are to be understood within the meaning of the European General Data Protection Regulation (GDPR).

Any data subject may contact our data protection officer directly regarding any and all questions and suggestions regarding data protection at any time.

Registration for TIB services

Users may register for services via TIB’s web pages. When registering, TIB collects personal data in order to be able to provide such services to users. The services cannot be used without providing the required data.
Which data is collected depends on the service. The legal basis for the collection of such data shall be the Terms of use of the TIB, the Special Conditions applicable to the respective service, or the consent given by the user. For further information, please refer to the information sheets on data protection provided for the respective services offered by the TIB.

TIB services with registration:

The TIB processes and stores the data subject’s personal data only for the period of time necessary to achieve the purpose of the storage or for the period of time for which the consent was given and in compliance with the General Data Protection Regulation as well as the state and institution-specific data protection rules and regulations applicable to the TIB. Thereafter, the personal data shall routinely be blocked or deleted in accordance with the statutory provisions. If the user no longer wishes to use the services of the TIB and in the absence of any claims of the TIB against the user and of any other legal basis for storage, we shall delete the personal data upon request. Where the user does not use the service for a prolonged period of time, the personal data will be deleted after the expiry of a period separately specified for the respective service.

TIB Open Publishing

The TIB operates TIB Open Publishing on the basis of the open source software Open Journal Systems (OJS) with its own IT infrastructure. Documentation of the OJS software as a whole and its data protection settings is available online on the PKP website.

Contact options via the Internet pages

The Internet pages of TIB Open Publishing contain information that enables customers who are not registered with TIB to contact TIB quickly by email by providing their name and email address. The name and email address are required for subsequent contact after clarification of the data subject's request. The personal data transmitted by the data subject to TIB Open Publishing by email is automatically stored internally and only for the purpose of processing or contacting the data subject.

Cookies

The webpages of TIB Open Publishing use cookies. Cookies are text files that are stored on a computer system via an Internet browser and are used to make TIB Open Publishing's services more user-friendly, effective, and secure.

Most of the cookies used are so-called session cookies, which are automatically deleted at the end of the visit. Other cookies remain stored on the user's device until the user deletes them. The cookies on the user's device enable TIB Open Publishing to recognize the user's browser on the next visit. In OJS, a session cookie is used to provide basic functionalities such as the selected language of logged-in users. The session cookie does not contain any personal data. The following information is temporarily stored in the session table.
  • Anonymized IP address
  • Browser of the user
  • Start and expiration time of the session
  • User ID (only for logged in users)
Users can prevent the setting of cookies by the webpages of TIB Open Publishing at any time by selecting the appropriate settings of the Internet browser used and permanently object. Furthermore, cookies that have already been set can be deleted at any time via the Internet browser or other software programs. This is possible in all common Internet browsers. If the data subject deactivates the setting of cookies in the Internet browser used, not all functions of the TIB Open Publishing website may be fully usable.

Collection of general data and information (log files)

Each time a data subject accesses the website of TIB Open Publishing, the website automatically collects information in so-called server log files, which are automatically transmitted to TIB Open Publishing by your browser. These are:
  • Browser type and browser version
  • Operating system used
  • Referrer URL
  • Host name of the accessing computer
  • IP address (anonymized by removing the last 8 bits of the IP address)
  • Internet service provider of the accessing system
  • Time of the server request
As a rule, this data cannot be assigned to a specific person. A combination of this data with other data sources is not made.

The log files are deleted after 21 days. Only aggregated statistics are stored in our database. The anonymized IP address, browser, and operating system are kept for the long term in order to optimize the service.

Usage statistics

In order to be able to analyze the usage and impact of our publications (journals and conference publications) and the published articles/contributions, we collect and log the accesses to the homepage of the publications, to issues, articles, article formats, and supplementary files. In doing so, all IP addresses are anonymized with Anonip before logging by deleting the last eight bits of the IP address. Since the network portion of the IP address is preserved during anonymization, it is still possible to evaluate the origin of the access, but the IP addresses themselves cannot be reconstructed and traced back to their origin. Statistics are generated and stored within OJS without the use of any external tools.

Social Media

Social media platforms such as Twitter and Facebook provide opportunities to share links and embed social media functionality into webpages. We use the Sharrif solution to protect the privacy of users when sharing content and embedding social media. Shariff is used to determine how often a page is shared on social media, but without generating requests from the displaying page to the social media sites. In OJS, the Sharrif solution is implemented through the Sharrif Plugin.

Analysis and sharing of data

Data collected through log files and usage statistics is used in anonymized and aggregated form to provide information about readership behavior and tracking geopolitical and social elements of scientific communication. Data that contribute to the development of this publication platform may be shared with the Public Knowledge Project in anonymized and aggregated form, with appropriate exceptions, such as article metrics. Data will not be sold or used by the publications or PKP for purposes other than those specified herein.

Routine deletion and blocking of personal data

TIB Open Publishing processes and stores personal data of the data subject only for the time necessary to achieve the purpose of storage and in accordance with the General Data Protection Regulation and the country- and institution-specific data protection provisions applicable to TIB. Thereafter, the personal data will be routinely blocked or deleted in accordance with the statutory provisions.

Rights of the data subject

You have the right at any time to obtain information about the data stored in this library, its origin and recipients and the purpose of the data processing, as well as the right to correction or deletion or to restriction of processing or - insofar as the processing is based on your consent - a right of revocation, a right of objection if applicable, and the right to data portability. Complaints can be submitted at any time to the supervisory authority indicated above.
